What is the maximum number of campers we can have in a group?
There is no group maximum, although there are no additional savings for the Group Coordinator once a group has 12 campers registered.
We recommend that groups larger than 12 campers find another Group Coordinator to start an additional group and proceed with the group registration steps.
IMPORTANT NOTE: Groups with 12+ campers will not be allocated to the same section due to cabin assignment limitations.
What is a Group Coordinator?
A Group Coordinator is an individual who 1) recruits 4 or more campers and 2) sets up the group via the Group Request Form. A person can only be the Group Coordinator for one group.
What is the Group Coordinator Discount?
Coordinators will receive a Group Coordinator Discount in addition to the Group Rate. The more campers in the group, the larger the coordinator discount.
When and how is the Group Coordinator Discount applied?
After the 20-day expiry, an HOC Administrator will apply the Group Coordinator Discount based on the total registered campers to your financial profile.
Does HOC communicate directly with group members?
No, HOC does not send emails or instructions directly to group members. The Group Coordinator is responsible for forwarding the registration details and Group Code to all parents.
Can a camper get the group rate if they registered before our group was approved?
No, Campers must enter the Group Code on Step #1 to activate the discount. If a camper registers before group approval or without the group code, they cannot receive the discount or count towards the 4-camper minimum. No exceptions.
How are cabin requests managed with HOC?
An HOC Administrator will ONLY communicate directly with the Group Coordinator to finalize cabin assignments. Group Coordinators must collect all special cabin requests from parents beforehand.
All cabin changes MUST be approved by the Group Coordinator.
